Q4) Answer the following questions :-
1) What is a Database
Ans :- You might have heard a system called ‘Sampoorna‘ that contains all the information about the students in our public schools. The data regarding lakhs of students have be compiled systematically. Such collection of data in a systematic manner is called databases. In databases, the data is recorded in one or many tables. Database helps to store data securely , add new data, removes unwanted data, uses data as per need , makes suitable changes etc. For ex:- Telephone and address books are examples of paper databases.
2) Explain DBMS
Ans :- DBMS stands for Database Management System. It is a software, that makes it convenient to do such activities with database is called a Database Management System (DBMS).It helps us to create new databases and use them securely. User, does not directly handles the database, but with the help of software it uses. DBMS also acts as a link between user and the database. MySQL, Microsoft SQL Server, Oracle etc. are well known database management system. Libre Office Base, Microsoft Access, etc. are some of the DBMS applications that comes as part of office packages.
3) Explain the following terms:
Data , Information , Table , Fields , Record
Ans :- i) Data – Data is a collection of facts and figures. For example student’s details like Name, Address, Mobile Number, E-mail, Address etc.
ii) Information – The processed data is called information. For ex Reports like student’s mark sheet, courses conducted along with the faculties, visiting faculties etc.
iii) Table – Table is a collection of data organized into rows and columns
iv) Fields – Field is a single unit of information in a table. The fields (columns) contains the actual data that describe and distinguish the items maintained in a table. For ex :- Roll No, First __Name, Middle _ Name, Last _ Name, Address, City, Mob _ Num etc.
v) Record – Record is the set of all data fields for one row of the table. Each record (row) within a table must be unique. No two records in a table can be exactly identical.
4) Write down the steps to create forms and enter data in the Libre Office Base
Ans :- The steps to create forms and enter data in the Libre Office Base are as follows :
i) Open the database file that is stored in your folder.
ii) Click on the forms in the database panel of the window that opens.
iii) Select Use Wizard to create Form from the Task panel.
iv) Select the table that has been created from the Tables or queries combo box
v) You can see under Available fields the fields that we have selected
vi) Make use of the arrow button to include the required fields under Fields in the form in the form that we are creating.
vii) You can move to the next stages using the Next button.
viii) If you want to give the form a different layout, you can do so by selecting a suitable layout from Arrange controls.
ix) Select a suitable style from Apply styles.
x) Give a suitable name for the form from Set name and clicks the Finish button.
xi) The form that is been created appears in the Work area.
