Q4) Answer the following questions in one or two sentences each :- (10 marks)
1) State the difference between row and column?
Answer: – Rows are the horizontal form of cells which are arranged together whereas columns are the vertical form of cells arranged together. In MS Access table, rows are termed as Record where as Columns are termed as Rows.
2) What is a Query?
Answer: – It is used to abstract the information from the database. Record or a group of records could be the query’s output.
3) What are the two different ways used to create a table?
Answer: – Database view and Design view are the two different ways in which a table can be created.
4) What is a Table structure?
Answer: – A table structure is a model which states/ gives an idea about how the table (its kind) can be created by identifying the size, name and different types of fields etc.
5) What is a Primary Key?
Answer: – A primary key is a key which is used to built a relation with the foreign key of the other table. A primary key does not permit the Null (empty) values but has the unique values.
Q5) Answer the following questions in brief :- (15 marks)
1) What is Database. Explain its advantages?
Answer: – The group of tables which consists data into it are to be termed as Database. In the database, the data always remains or is stored in a chronological order. For ex :- The class attendance that is maintained by the class teacher can be termed as a Database which contains the data of the students names and their roll numbers. Data can be properly maintained in Database.
2) What do you know about RDBMS?
Answer: – RDBMS stands for Relational Database Management System. It is the group of database sets of the mentioned tables. From these tables, the data can be accessed or gained or created in various ways without performing the process of recognising the database in the tables. In the year 1970 E.F Codd introduced the concept of relational database at IBM. The most important of relational database is its easily extension as if the database is very easy to create and access. By skipping the step of modifying all the existing applications one can add the new data category to the created database. It is set of tables containing the data which are fitted into pre-defined categories. Each tables ( sometimes called as relation) can contain one or more categories in columns. Every row contains the instance data for the categories defined by the columns.
For ex :- A business database will only include the table which involves customers detailed information such as their name, address, contact no. etc. Oracles, FoxPro, Microsoft Access are some the popular database software which are mostly in use today.
3) Explain the different ways to create a database?
Answer: – MS Access provides the two ways in which one create a database which are :-
a) Creating a database using a Template :- Template is a pre-defined format of the database which contains tables, forms, queries, or reports as per the requirement.
To create a database using a Template, there is compulsion to follow certain steps:-
i) Make a click on the File tab
ii) Click on New option from the Backstage view where different types of
templates list gets displayed.
iii) Now select the template of your choice, where a new screen appears.
iv) Now just click on the Create button.
b) Creating a blank database :- Following are the step to create a blank database
which are :-
i) Click on file tab.
ii) From the Backstage view click on New option.
iii) To make a new screen appear, select Blank Desktop Database.
iv) In the File Name box, we have to enter the database name and then click on Create button.
4) Explain the two different views to work with your data in Access?
Answer: – Datasheet view and Design view are the two different views which are used to work with your data in Access. The Datasheet view is generally related with the spreadsheet view (form of rows/columns) and the Design view as table structure view (enter the data). In the Datasheet view is much easier to enter or manipulate the data
as if the view is displayed in the form of row/column whereas Design view will allow to enter the field names, data types and descriptions to your table.
5) What do you understand by Manipulation of Data? Explain the different forms of modification which are done on a table in Microsoft Access?
Answer: – Manipulation to the data means making some changes to the data. Following are the modifications which can be done to a table in Microsoft Access are :-
a) Add a new record/row: – If you wish to add a new record/row in the table, then simply take your cursor to the last value of the field/column and then press the Tab key.
b) Add a new field/column :- If you wish to add the new column in your in your table, then you should make a right click on the column header and select the Insert field option by which you’ll find a new field will be inserted to the left side of the selected field.
c) Update a record: – If in case you want to make update in your record, then simply click in the cell that you want to update and you have to type a new value there.
d) Delete a new row/column:- If you want to make deletion of any entire specific row/column, then you have to select the header of row/column which you want to delete then press the Delete key or press right-click button of the mouse and select the Delete Record or Delete Field option and click on Yes button to confirm the deletion.
