(1) What is meant by staffing?

Ans: The process of filling the various posts provided in the organisation is called staffing.

(2) State two important sources of recruitment.

Ans: Two important sources of recruitment are interval source of recruitment and external source of recruitment.

(3) The workers of a factory are unable to work on new machines and always demand for help of supervisors. The supervisor is —– with their frequent calls suggest the remedy.

Ans: The remedy for the above problem is training. The importance of training are as follows:

(i) Training is a systematic learning that leads to reduction in wastage of efforts and money.

(1) What is meant by recruitment? How is it different from selection?

Ans: Recruitment refers to the process of finding possible candidates for a job or a function.

Recruitment is different from selection in following manner:

(i) Recruitment refers to the search of prospective employees for a job whereas selection refers to selecting such employees for the job.

(ii) Recruitment is considered as a positive process as it involves inducing now person in the organisation whereas selection is a negative process as it eliminates the unsuitable candidates.

(2) An organisation provides security services. It requires such candidates who are reliable and don’t leak out the secrets of their clients. What steps should be incorporated in selection process?

Ans: The steps incorporated in selection process are as follows:

(i) Preliminary screening: This step helps the manager to eliminate the misfit candidates from the job position based on the information supplied in applications forms.

(ii) Selection test (Personality Test): This test provides clues to a person’s emotions reactions, maturity, value system etc.

(iii) Reference and background checks: Many employees seeks for names, address etc of references for the purpose of verifying information References can be a previous employee, known persons, teachers or professors etc.

(3) A company is manufacturing paper plates & bowls. It produces 100000 plates & bowls each day. Due to local festival, it got an urgent order to extra 50000 plates and bowls. Explain the method of recruitment that the company should adopt in the given circumstances to meet the order.

Ans: The method of recruitment that the company should adopt to meet the extra order are as follows:

(i) Transfer: It is one of the made of internal sources of recruitment through which shortage of suitable personnel in one branch may be filled through transfer from other branch or department.

(ii) Direct Recruitment: It is one of the mode of external sources of recruitment which is used by organisation suitable for filling casual vacancies when there is a rush of work or when some permanent workers are absent.

(iii) Casual callers: It is one of the mode of external source of recruitment where the company keeps a database of —- applicants in their offices and such job seekers can be screened to fill the vacancies as they arise.

(4) Distinguish between training and development.

Ans: The difference between training and development are as follows:

(ii) Internal recruitment simplifies the process of selection & placement as the candidates that are already working in the enterprise can evaluated more accurately and economically.

(iii) Transfer is a tool of training the employees to prepare them for higher jobs. It has the benefit of shifting workforce from surplus departments to shortage of staffs.

(6) “No organisation can be successful unless it fills and keeps the various positions filed with the right kind of people for the right job.” —–

Ans: The above statement can be justified with the importance of the staffing functions in an organisation:

(i) It is important to find “the right person for the right job” and staffing is the process that understands the manpower requirement within the organisation.

(ii) Staffing involves identifying the potential sources from where the requirement of manpower can be fulfilled i.e. either from within the organisation or from outside.

(iii) As “The right person” is scarce, there is need to “market” the job and the organisation to the people. In situation where a single job vacancy might attract few hundreds of the applicants, there is a challenge of selecting the most appropriate one.

(iv) The selected employees may need training for upgradation of knowledge and skills and this is also a part of the staffing process.

Ans: Human Resource management has replaced the traditional concept of labour welfare and personnel management. HRM (Human resource management) in its present form has evolved from a number of significant inter-related developments, which dates back to the era of industrial revolution. Human relations approach recognizes human factor as the most important instrument of success in an organisation. Fast changing technology developments necessitated new skill development and training of employees. It is important to understand that staffing is both a function of management as well as a distinct functional area of management and an essential function of the manager as well as advisory role played by the human resource department.

(2) Explain the procedure for selection of employees.

Ans: The process for selection of employees in an organisation are as —–.

(i) Preliminary Screening: refer to answer Q2 of short answer type.

(ii) Selection test: It is a mechanism that attempts to measure certain characteristics of individuals that range from aptitudes, intelligence etc.

(iii) Employment interview: It is a formal, in-depth conversation conducted to evaluate the applicant’s suitability for the job.

(v) Selection Decision: The final decision has to be made from among the candidates who pas the tests, interviewers and reference checks

(vi) Medical examination: After the selection decision and before the job offer is made, the candidate is required to undergo a medical fitness test and he/she is offered the job only if declared as fit.

(vii) Job offer: The next step in the selection process is job offer to those applicants who have passed all the previous hurdles.

(3) What are the advantages of training to the individual and to the organisation?

Ans: The advantages of training to individuals are as follows:

(i) Improved skills and knowledge which provides a better career to an individual.

(ii) Increased performance by the individual helps him/her to earn more.

(iii) It makes the employees to handle machineries effectively.

The advantages of training to organisation are as follows:

(i) Training enhances employee productivity both in terms of quantity and quality leading to higher profit.

(ii) It equips the future manager who can take over in case of emergency

(i) Estimating the Manpower requirements: Understanding manpower requirement is not only the matter of knowing how many persons are required but also the type of workplace needed to perform the job.

(ii) Recruitment: It is defined as the process of searching for prospective employee and stimulating them to apply for the job.

(iii) Selections: It is the process of choosing from among the pool of the prospective job candidates developed at the stage of recruitment.

(iv) Placement & orientation: The selected employees are given a brief presentation about the company & is introduced to his/her superiors, subordinates etc. He is familiarised with his/her job.

(v) Training & development: The best way to provide an opportunity to the employees to rise at the top is to facilities employee learning through proper training and development.
