a) Solution:
DBMS stands for Database Management System. It is a software, that makes it
convenient to do such activities with database is called a Database Management System (DBMS).It helps us to create new databases and use them securely. User, does not directly handles the database, but with the help of software it uses. DBMS also acts as a link between user and the database. MySQL, Microsoft SQL Server, Oracle etc. are well known database management system. LibreOffice Base, Microsoft Access, etc. are some of the DBMS applications that comes as part of office packages.
b) Solution:
MS- Access is one of the part of the MS- Office package suite. It is a database
software which is used to create, manage and process data in the table. Every single
information in the table is known as a value. The location of the values in between the
intersection of row and column. In Microsoft Access, the database is saved with a .accdb extension. The databases in the older access uses an .mdb extension but from from Access 2007,the database began to save with .accdb extension. Using an older version of Access, if you’re unable to open an older database, you may need to convert .accdb first.
c) Solution:
The terms Record, Field and Value are explained below :-
i) Record :- Record is the set of all data fields for one row of the table. Each record
(row) within a table must be unique. No two records in a table can be exactly identical.
ii) Field :- Field is a single unit of information in a table. The fields (columns) contains the actual data that describe and distinguish the items maintained in a table. For ex :- Roll No, First __ Name, Middle _ Name, Last _ Name, Address, City, Mob _ Num etc.
iii) Value :- The information within the table, is called as Value.
d) Solution:
One field or group of fields designed in database, together form as Primary Key.
The property of a primary key is that not more than one record is allowed with the
same value for the field. Without filling in the value of a primary key field, its impossible to add a record in a table.
e) Solution:
What kind/type of data is to be stored is been determined by Data type. MS
Access provides different types of data types, which are used for different purposes.
The value that is to stored in the given field is been determined by datatypes. Each
field can store data consisting of only a single data type. The different types of data
types are as follows:-
i) Auto Number :- When new record is been created then unique values of such is
created by Auto number. This field can be primarily used as the Primary Key in Access.
ii) Number :- The Number field can store numeric values ranging upto 16 bytes of data.
iii) Date/Time :- The Date/Time field allows storage of date and time information.
iv) Text :- A text field can contain value that that are in text, numeric, or combination of
both. A text field can contain upto 255 characters.
v) Memo :- Memo Datatype is sued for detailed and descriptive data and has a
character limitation of 63,999
vi) Currency :- in this data type you can store the currency data which you can use it for calculation.
vii) Yes/No :- Yes is represented by the value 1 whereas No is represented by 0 value.
The field can be formatted to show the values as True/false or Yes/No.
viii) OLE Object :- We can store the objects that is created in the other applications like
Word, Excel and can link in with the table in access.
ix) Hyperlink :- You can link to websites, e-mail addresses, files on your computer, files
on the LAN or virtually any other location.
x) Attachments :- MS- Access 2007, and 2010database provides the facilities of
attaching the data files from the different programs such as word processing,
spreadsheet, graphics editing program etc.
xi) Calculated :- This is the new feature in MS- Access 2010. You can directly create the calculated fields in the table. In the older versions, you could create calculated fields
only in queries.
f) Solution:
Field properties are the properties that controls every fields. This properties
includes the basic things like size, format as well as the rules for the entries in it. In a
database, there are different types of field properties :-
i) Properties Pane :- In the Design View, when the field is been selected, the
properties appear in the lower pane.
ii) General Tab :- In this tab, you may find various properties in which you’ll be able to
work with.
iii) Lookup Tab :- This tab is used for adjusting/setting up the lookup lists.
iv) Drop-down lists :- There are some properties which may have the drop down list.
By making a click on the arrow will help to get the list open.
v) Property information :- The information about the property is displayed when the
insertion point is in the property’s box.
