Q3) Write short notes on :-

a) Table :- In Microsoft Access, a database consists of collection of table and table s made up of rows and columns. The rows in the table are called as Records (that includes the information about a given person, product or an event) whereas the columns in the tables are called as Fields (it is a piece of information within the record).

b) Field :- Field is a single unit of information in a table. The fields (columns) contains the actual data that describe and distinguish the items maintained in a table. For ex :- Roll No, First __ Name, Middle _ Name, Last _ Name, Address, City, Mob _ Num etc.

c) Record :- Record is the set of all data fields for one row of the table. Each record (row) within a table must be unique. No two records in a table can be exactly identical. Records includes the information about a given person, product or an event.

d) Database :- You might have heard a system called ‘ Sampoorna ‘ that contains all the information about the students in our public schools. The data regarding lakhs of students have be compiled systematically. Such collection of data in a systematic manner is called databases. In databases, the data is recorded in one or many tables. Database helps to store data securely , add new data, removes unwanted data, uses data as per need , makes suitable changes etc. For ex:- Telephone and address books are examples of paper databases.

 

Q4) Answer the following questions :-

a) Solution: 

MS- Access is one of the part of the MS- Office package suite. It is a database
software which is used to create, manage and process data in the table. Every single
information in the table is known as a value. The location of the values in between the
intersection of row and column. In Microsoft Access, the database is saved with a .accdb extension. The databases in the older access uses an .mdb extension but from from Access 2007,the database began to save with .accdb extension. Using an older version of Access, if you’re unable to open an older database, you may need to convert .accdb first.

 

b) Solution: 

The steps for creating a database using the Templates are as follows :-
i) Start with the Access and make a click on sample templates. (if incase Access is already been opened, then you can click on the File tab and then click on New option) for bringing this page on the screen.

ii) Click on the template.

iii) Type the name for the database. (All the database files are saved with .accdb extensions/ or Access assigns automatically).

iv) Then click on create option. (After making a clicking on create, the Access will
automatically create the new database table for you to enter data.

v) You can fill the table by entering records into it.

 

c) Solution: 

The data items that are related to each other when the data is been stored. It handles
multiple tables which stores/ arranges the text in rows and columns. For ex:- you are going to make two tables one table for customers and the other for orders. The table named as customers will only store the basic information of all the customers and the other order table will only store the information/details regarding the orders placed. Every customers in the customer table are been allotted a unique ID and the each orders in the order table has the specific customer ID.

 

d) Solution: 

the database objects like tables, queries, reports and forms can be viewed or
managed with the help of Navigation Pane. By pressing F11 key one can hid or show the Navigation pane.

 

Q5) Application Based Questions :-

Solution: 

If Ankit has been asked to create a database table in Access, containing fields Name,
Section, Roll number and Marks. But he is unable to create the database. I would suggest him to follow the below given steps :-

i) Make a click on the Blank Database.

ii) Type the name for the database. As the database is created in Access so access will
automatically add the extension of .accdb

iii) Now search for the location on the computer where you want to store the new file.

iv) You can click on Browse button to search for the location where you want to store.

v) Click on create option. After which Access will create a new blank databases and open a new table. The database name appears in the Title Bar. Now you have to enter the records such as fields Name, Section, Roll number and Marks and create you own
table.
